The Front Desk Receptionist serves as the first point of contact for patients in our cardiology clinic. This position plays a key role in creating a positive and professional experience for patients while ensuring efficient office operations. Responsibilities include managing patient scheduling, verifying insurance, handling patient communications, and supporting the medical team with administrative tasks.
Key Responsibilities:
Patient Relations & Communication
Greet patients and visitors in a friendly, courteous, and professional manner.
Answer incoming calls, respond to inquiries, and route calls to appropriate staff.
Schedule, confirm, and reschedule patient appointments.
Provide information on clinic procedures, policies, and services.
Maintain confidentiality and comply with HIPAA regulations at all times.
Administrative Duties
Check patients in and out; ensure all necessary forms and documentation are completed.
Verify insurance information and collect co-pays or outstanding balances.
Enter and update patient information accurately in the electronic medical record (EMR) system.
Prepare and manage daily schedules and appointment logs.
Handle incoming mail, faxes, and other correspondence.
Clinical Support (Non-Clinical Tasks)
Coordinate with nurses, medical assistants, and cardiologists to ensure smooth patient flow.
Assist with medical records requests and faxing of reports to referring physicians.
Maintain the cleanliness and organization of the reception and waiting areas.
Qualifications:
High school diploma or equivalent required; associate degree or medical office training preferred.
Minimum 1-2 years of experience in a medical office setting (cardiology experience preferred).
Proficiency with EMR systems (e.g., Epic, DrChrono).
Strong communication, organizational, and multitasking skills.
Knowledge of medical terminology and insurance verification processes.
Excellent customer service and interpersonal skills.
Working Conditions:
Fast-paced medical office environment.
Frequent interaction with patients, physicians, and staff.
May require occasional overtime depending on patient volume.
