Job Title: Front Desk Receptionist / CSW Program Support

Job Summary: The Front Desk Receptionist is the first point of contact for patients, visitors, and staff, responsible for managing the front desk operations and ensuring a welcoming, professional environment. This role requires exceptional customer service skills, attention to detail, and the ability to multitask in a fast-paced setting.

As a Community Support Worker with us, you will play a pivotal role in delivering Comprehensive Community Support Services that empower clients to achieve independent living, enhance their learning abilities, develop work skills, engage in social activities, and participate in recreational opportunities. Our culturally sensitive services are designed to identify and overcome barriers that impede the development of essential skills for independent functioning within the community.

Key Responsibilities:

Greet and welcome patients, visitors, and staff, ensuring a friendly and professional atmosphere. Provide exceptional customer support, addressing concerns and resolving issues promptly and efficiently. Maintain a welcoming, respectful, and supportive environment during office hours (Monday-Friday, 9 am-5 pm).
Front Desk Operations:

Manage the front desk, including answering phone calls, responding to emails, and addressing inquiries in a timely manner. Develop a strong understanding of the phone systems and manage incoming and outgoing calls effectively. Open and close the office, including tasks such as turning on/off lights, opening/closing blinds, adjusting heating/cooling, and locking/checking all doors. Manage mail and deliveries, ensuring all are processed accurately and efficiently.
Administrative Support:

Utilize medical and dental receptionist skills to schedule appointments, manage patient flow, and perform various administrative tasks. Assist with calendar management, including booking appointments and coordinating schedules for providers. Support the administrative team with tasks such as filing, data entry, and managing patient records. Aid Clinicians and CSWs by handling printing, faxing, or copying tasks. Attend weekly staff meetings with the direct supervisor and provide updates on any client-related issues or questions.
Patient Interaction:

Collect payments from clients, issue receipts, and document transactions in EMRBear. Assist clients in completing consent forms, ROIs, and other necessary paperwork. Verify insurances for intakes and scheduled clients, including checking benefits, copays, and deductibles. Collaborate with clients, providers, referral lists, and insurance specialists as necessary. Utilize Google Chat to inform clinicians when their client arrives in the office.
Compliance and Confidentiality:

Ensure compliance with HIPAA regulations and maintain confidentiality at all times. Maintain all HIPAA protocols to protect the organization's liability and clients' privacy.
Office Maintenance:

Maintain a clean and organized front desk area, including restocking supplies. Conduct end-of-day office sanitation, ensuring all doors and windows are closed and locked, and utilities are turned off. Unlock and open OPT upon arrival. Put out and put away apples on the table daily.
Special Projects and Other Duties:

Report directly to the Director of Operations. Perform other duties as assigned.
Qualifications:

Experience: Previous experience as a front desk receptionist or in a similar role is preferred. Experience in medical or dental receptionist roles is highly valued. Proven experience in providing exceptional customer service and support. Skills: Strong organizational and time management skills, with the ability to prioritize tasks effectively. Proficiency with calendar management and scheduling software. Basic computer skills, including proficiency with Microsoft Office and the ability to learn new software quickly. Ability to work in a fast-paced environment and adapt to changing priorities. Specialization in human relations and customer service. Other Requirements: Must receive ongoing training in trauma-informed care. Maintain a positive and professional demeanor at all times.

CSW Program Support Duties:

Complete all CSW requirements outlined in the CSW Policy and Procedure guidelines, ensuring timely completion of notes, assessments, and treatment plans within 24 hours of services provided. Engage in 20 hours of training/continuing education annually to maintain CSW certification. Successfully complete UNM CCSS training. Maintain a caseload with a minimum of 30 billable client contact hours per week. Keep the EMRBear calendar updated every Monday. Maintain effective communication with parents, school staff, and other stakeholders. Demonstrate professional conduct when interacting with clients. Attend weekly supervision and client staffing sessions. Promptly inform the direct supervisor of any critical situations or incident reports. Be present on the school campus during school hours and after-school programs. Participate in holiday/summer programs. Provide introductory orientation information and forms to TBH clients. Transport clients to and from school and programs. Obtain prior approval from the Director of Operations (DOO) or the Chief Executive Officer (CEO) for any modifications to the work schedule or workweek. Fulfill other duties as assigned by the CEO or CD.

Hourly Wage: $15.00 - $18.00
