Duties
Greet visitors promptly and professionally, providing excellent customer service and ensuring a warm first impression
Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
Handle incoming correspondence, including emails, mail, and packages, with accuracy and timeliness
Maintain appointment calendars and schedule meetings using Microsoft Office and Google Workspace tools
Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records
Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and maintaining office cleanliness
Assist with clerical duties including typing reports, managing customer support inquiries, and supporting administrative projects
Skills
Proven experience in office management or administrative support roles with strong organizational skills
Excellent computer literacy in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with multi-line phone systems and phone etiquette to handle calls professionally
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong typing skills combined with attention to detail for proofreading and data entry tasks
Knowledge of QuickBooks for bookkeeping or basic accounting tasks is a plus
Prior experience as a dental or medical receptionist or personal assistant is advantageous for understanding specialized workflows
Exceptional customer service skills with the ability to manage multiple priorities efficiently
Time management skills to balance various responsibilities while maintaining professionalism
