We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Duties
Greet visitors warmly and professionally, providing excellent customer service at all times
Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
Handle front desk operations including scheduling appointments, maintaining visitor logs, and managing incoming correspondence
Perform data entry and maintain accurate records using Microsoft Office Suite, Google Workspace, and other office management tools
Assist with office management tasks such as filing, photocopying, proofreading documents, and organizing supplies
Support calendar management for staff or executives by scheduling meetings and coordinating appointments
Provide customer support by addressing inquiries promptly and courteously via phone or email
Conduct basic bookkeeping tasks using QuickBooks or similar accounting software when necessary
Maintain a tidy reception area and ensure all office equipment is functioning properly
Support administrative projects such as proofing documents, managing office supplies inventory, and supporting team members with personal assistant duties if required
Experience
Previous office or clerical experience is highly preferred, especially in accounting, CPA, legal firms
Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, Outlook), MS teams, and data entry skills
Experience handling multi-line phone systems with professional phone etiquette is essential
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Familiarity with office management procedures such as filing systems, proofreading documents, and time management techniques
Knowledge of bookkeeping software like QuickBooks or similar tools is advantageous
Excellent customer service skills with a friendly demeanor and the ability to handle challenging situations gracefully
