Duties
Greet visitors and clients warmly, creating a professional and inviting atmosphere
Manage multi-line phone systems efficiently, directing calls accurately and courteously
Handle incoming correspondence, emails, and inquiries with promptness and clarity
Maintain appointment calendars and schedule meetings using calendar management tools
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Utilize office management software such as Microsoft Office, Google Workspace, and QuickBooks for daily tasks
Support office operations by managing supplies, organizing files, and overseeing general clerical duties
Provide customer support through effective communication, active listening, and problem-solving
Assist with bookkeeping tasks as needed, including basic bookkeeping using QuickBooks or similar software
Maintain excellent phone etiquette while handling inquiries from clients or patients in a professional manner
Support personal assistant duties when required, including scheduling and administrative support for executives or team leaders
Qualifications
Proven experience in office management or administrative roles with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools
Prior experience working as a receptionist in dental or medical settings is highly desirable
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Exceptional customer service skills with a friendly demeanor and professional phone etiquette
Bilingual abilities are a plus to effectively communicate with diverse clients or patients
Familiarity with multi-line phone systems and office equipment such as printers and fax machines
Ability to type quickly with high accuracy; attention to detail is essential for proofreading documents
Knowledge of basic bookkeeping principles; experience with QuickBooks is preferred
Strong time management skills to prioritize tasks effectively throughout the day
Previous experience in medical or dental receptionist roles is advantageous but not mandatory
