Responsibilities
Greet visitors, clients, and vendors warmly, creating a positive first impression for everyone entering the office.
Manage multi-line phone systems efficiently, directing calls accurately and professionally while providing outstanding customer support.
Handle incoming correspondence via email, mail, and phone, ensuring timely responses and proper routing.
Maintain organized filing systems--both physical and digital--using tools like Google Workspace and Microsoft Office--to ensure quick retrieval of documents.
Perform data entry tasks with high accuracy, including updating records in QuickBooks or other accounting software as needed.
Schedule appointments, manage calendars for staff members, and coordinate meetings using calendar management tools.
Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general cleanliness.
Proofread documents for accuracy and clarity before distribution to ensure professional communication.
Support bookkeeping activities by recording transactions, managing invoices, and assisting with basic financial recordkeeping.
Provide clerical support including photocopying, scanning, faxing, and preparing reports or presentations.
Offer exceptional customer service by addressing inquiries promptly and courteously both in person and over the phone.
Support personal assistant tasks such as travel arrangements or special project coordination when needed.
Maintain confidentiality of sensitive information at all times while demonstrating excellent phone etiquette and organizational skills.
Requirements
Proven experience in an office environment or as a receptionist; prior dental or medical receptionist experience is a plus.
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and familiarity with data entry platforms like QuickBooks.
Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting.
Exceptional communication skills--bilingual abilities are highly desirable to serve diverse client needs.
Demonstrated experience managing multi-line phone systems with professionalism and courtesy.
Strong typing skills coupled with attention to detail for proofreading documents accurately.
Previous clerical or administrative experience supporting office management functions or bookkeeping activities such as bookkeeping or data entry is preferred.
Knowledge of office management procedures including filing systems, inventory management, and calendar coordination.
Ability to handle multiple responsibilities simultaneously while maintaining a positive attitude under pressure.
