We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our community. Responsibilities
Greet visitors warmly and professionally, directing them appropriately and ensuring a positive first impression.
Manage multi-line phone systems with courteous phone etiquette, screening calls and transferring messages accurately.
Handle incoming correspondence, including emails, mail, invoices and packages, ensuring timely distribution.
Maintain organized files and records through precise filing systems, both physical and digital, including data entry and proofreading tasks.
Schedule appointments, coordinate calendar management, and assist with meeting arrangements using tools like Google Workspace and Microsoft Office.
Support office management tasks such as supply inventory, order processing via QuickBooks or similar software, and basic bookkeeping.
Provide exceptional customer support by addressing inquiries promptly and professionally, whether in person or over the phone.
Assist with clerical duties such as typing documents, preparing reports, proofreading communications, and managing office documentation.
Support additional administrative functions including time management tasks, organizing files, and supporting personal assistant responsibilities when needed.
Maintain a clean and organized reception area to promote a welcoming environment for visitors and staff alike.
Qualifications
Proven experience in office management or administrative roles with strong people skills.
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills.
Prior experience working as a front desk or medical/dental receptionist is highly desirable.
Strong organizational skills with the ability to multi-task efficiently in a fast-paced environment.
Exceptional customer service skills paired with professional phone etiquette.
Familiarity with phone systems and office equipment such as printers and fax machines.
Ability to handle confidential information discreetly while maintaining accuracy in proofreading and data entry tasks.
Knowledge of bookkeeping is beneficial for supporting basic financial tasks.
High school diploma or equivalent required; additional certifications in office administration or related fields are preferred.
