Responsibilities
Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
Answer multi-line phone systems with courteous phone etiquette, directing calls accurately and efficiently
Manage appointment scheduling, calendar coordination, and meeting room bookings using tools like Google Workspace or Microsoft Office
Handle data entry, filing, and document proofreading to maintain organized records and ensure accuracy in all communications
Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
Assist with clerical duties including typing correspondence, preparing reports, and maintaining electronic and physical files
Provide exceptional customer support by addressing inquiries promptly and professionally in person or via phone/email
Coordinate with team members on administrative projects, ensuring timely completion through effective time management and organizational skills
Maintain a clean, organized front desk area that reflects a professional environment at all times
Support additional administrative or personal assistant tasks as needed to ensure office efficiency
Qualifications
Proven experience in office administration, clerical work, or reception roles; prior dental or medical receptionist experience is a plus
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools
Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
Exceptional customer service skills with a friendly demeanor and professional phone etiquette
Bilingual abilities are highly desirable to assist diverse client populations
Familiarity with multi-line phone systems, filing systems, proofing documents, and basic bookkeeping (QuickBooks) is preferred
Ability to handle confidential information discreetly and maintain professionalism at all times
Strong typing skills with attention to detail; experience with calendar management and time management tools enhances effectiveness
Previous office management or administrative support experience is advantageous
