Responsibilities



Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems with courteous phone etiquette, directing calls efficiently to appropriate departments or personnel. Handle incoming and outgoing correspondence, including emails, mail, and packages, with accuracy and timeliness. Maintain organized filing systems, both physical and digital, including data entry, document proofreading, and record keeping. Support office management tasks such as calendar management, appointment scheduling, and meeting coordination. Assist with scheduling activities for infusion patients and collaborating with pharmacy technicians, pharmacists, and intake teams. Provide exceptional customer support by addressing inquiries promptly and professionally across various communication channels. Perform clerical duties such as typing documents, proofreading materials, managing office supplies inventory, and supporting administrative projects. Utilize computer skills across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to produce reports, spreadsheets, presentations, and correspondence. Ensure smooth daily operations by managing office equipment maintenance and troubleshooting basic technical issues. Support personal assistant tasks as needed, including travel arrangements or special project coordination. Uphold high standards of confidentiality and professionalism in all interactions.

Experience



Prior experience working in an office environment or as a receptionist is highly preferred; familiarity with front desk operations is essential. Demonstrated proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools (Docs, Sheets), and data entry systems. Strong organizational skills with the ability to multitask effectively in a fast-paced setting. Excellent communication skills with a focus on phone etiquette; bilingual abilities are a plus for serving diverse clients or visitors. Background in customer service or customer support roles that require professionalism and patience. Knowledge of multi-line phone systems and familiarity with medical or dental receptionist duties is beneficial but not mandatory. Ability to handle clerical tasks like filing, proofreading documents, calendar management, and time management efficiently.
