Duties
Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage communication, answering calls efficiently and professionally using proper phone etiquette
Handle incoming inquiries via phone, email, or in person with clear communication and customer support skills
Maintain organized reception area, including filing, data entry, and document proofreading to ensure accuracy and professionalism
Schedule appointments, manage calendars, and coordinate meetings using Square.
Assist with office management tasks such as supply inventory and mail distribution.
Ensure all interactions reflect excellent customer service standards while maintaining professionalism in a fast-paced environment
Collaborate with team members to improve office procedures and enhance overall efficiency
Building customer relationships by executing customer reachout programs through phone, email and online.
Qualifications
Proven experience in front desk or administrative roles within office environments or medical/dental settings is highly desirable
Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), and data entry skills
Excellent organizational skills with the ability to multitask effectively in a busy setting
Bilingual abilities are a plus for serving diverse client needs
Experience with multi-line phone systems and phone etiquette is essential for managing communications smoothly
Prior clerical experience including filing, proofreading, and document management is preferred
Demonstrated customer service skills with a friendly demeanor and professional attitude
Ability to handle confidential information discreetly with strong attention to detail
Strong time management skills with the ability to prioritize tasks efficiently
