Duties



Greet visitors warmly and professionally, providing excellent customer service at all times Answer multi-line phone systems promptly and courteously, directing calls to appropriate departments or personnel Manage appointment scheduling and calendar coordination using tools like Google Workspace and Microsoft Office Handle data entry, filing, and document proofreading with accuracy and attention to detail Maintain organized records through filing systems, both physical and digital, ensuring easy retrieval of information Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software Assist with general administrative duties including typing correspondence, managing emails, and supporting team members as a personal assistant when needed Demonstrate excellent phone etiquette while providing customer support and addressing inquiries efficiently Utilize computer literacy skills to navigate various office platforms, including Google Workspace and Microsoft Office applications Manage incoming correspondence, process invoices, and support bookkeeping activities related to office expenses Coordinate with other departments to ensure seamless office operations and effective communication

Qualifications



Proven experience in office administration or clerical roles, preferably in a medical or dental setting as a receptionist or front desk coordinator Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry tools Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Exceptional customer service skills coupled with professional phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with multi-line phone systems and office management software such as QuickBooks is preferred Attention to detail for proofreading documents and managing accurate records Ability to handle confidential information discreetly and responsibly Strong time management skills with the capacity to prioritize tasks efficiently Previous experience as a medical or dental receptionist is advantageous but not required; training will be provided for specific responsibilities
