Position Overview



As the first point of contact for TPC, the Front Desk Receptionist ensures every patient and visitor experiences a welcoming, organized, and professional environment.

This role is central to the patient journey--managing calls, scheduling, intake paperwork, and coordination between clinical and billing teams.

You'll balance empathy and efficiency while maintaining accuracy in a fast-paced behavioral-health setting.

Key Responsibilities



Patient Experience & Front Desk Operations



Greet patients warmly and manage check-in and check-out with professionalism and discretion. Answer and route phone calls promptly; relay messages accurately. Maintain a calm, patient-centered tone when addressing sensitive situations or patient concerns. Keep the reception and waiting areas clean, organized, and HIPAA-compliant.

Scheduling & Coordination



Manage daily provider schedules; confirm and reschedule appointments as needed. Coordinate telehealth and in-office visits, verifying technology readiness and patient understanding. Communicate with clinical staff regarding schedule changes, cancellations, and urgent requests.

New Patient Intake & Documentation



Guide new patients through the intake process, ensuring all paperwork is complete and compliant. Verify insurance and demographic information before visits; obtain photo ID and insurance cards. Accurately enter patient data into the EMR and maintain confidentiality at all times. Track incoming referrals and coordinate with referring providers when necessary.

Administrative Support



Handle faxing, scanning, and secure document uploads into patient charts. Assist with prior-authorization requests and communication with payers as needed. Support billing and clinical teams with document retrieval, message routing, and follow-up tasks. Participate in staff meetings and contribute to workflow improvement initiatives.

Qualifications



Experience: Minimum 1 year in a medical or behavioral-health front-office role (preferred). Skills: Excellent communication, attention to detail, and time-management skills. Technical: Comfortable with EMR systems, scheduling software, and payer portals (OpenEMR or similar). Professionalism: Upholds patient confidentiality and TPC's values of Respect, Trust, Fairness, and Grit. Education: High school diploma or equivalent required; some college or medical-office coursework preferred.

Pay: From $14.00 per hour

Expected hours: 40 per week
