Duties
Greet visitors, clients, and vendors warmly and professionally, ensuring they feel welcomed and valued
Manage multi-line phone systems efficiently, directing calls accurately and courteously
Handle incoming correspondence, including emails, mail, and packages with precision and timeliness
Maintain organized filing systems, data entry records, and document proofreading to ensure accuracy
Support appointment scheduling and calendar management using tools like Google Workspace and Microsoft Office
Assist with basic bookkeeping tasks using QuickBooks or similar accounting software
Perform general clerical duties such as photocopying, faxing, and maintaining office supplies
Provide excellent customer support by addressing inquiries promptly and professionally
Support office management tasks including organizing meetings, managing office logistics, and maintaining a clean reception area
Experience
Proven experience in office administration or reception roles with strong clerical skills
Familiarity with multi-line phone systems and professional phone etiquette
Bilingual abilities are highly desirable to serve diverse client needs effectively
Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks
Previous medical or dental receptionist experience is advantageous but not required
Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Demonstrated ability to proofread documents accurately and maintain high attention to detail
Personal assistant or administrative support experience will be considered an asset
