Duties



Greet visitors warmly, verify appointments, and direct them appropriately to ensure a friendly and efficient check-in process Manage multi-line phone systems, answer inquiries promptly, and route calls accurately using professional phone etiquette Handle incoming and outgoing correspondence, including emails, mail, and packages, with attention to detail Maintain organized files, data entry records, and filing systems to support office efficiency Utilize computer skills in Microsoft Office, Google Workspace, QuickBooks, and other software to prepare documents, spreadsheets, and reports Assist with calendar management and scheduling appointments for staff or professionals within the organization Support office management tasks such as ordering supplies, proofreading documents, and managing office equipment

Qualifications



Proven clerical or administrative experience in an office environment with strong organizational skills Excellent customer service skills with a friendly demeanor and professional phone etiquette Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), and basic data entry skills Ability to manage multi-line phone systems efficiently while maintaining composure under pressure Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with office management tasks such as filing, proofreading, bookkeeping using QuickBooks or similar software is preferred Strong time management skills with the ability to prioritize tasks quickly and accurately Personal assistant or medical/dental receptionist experience is a plus but not required
