Duties



Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Manage multi-line phone systems, directing calls accurately and courteously Handle incoming correspondence, including emails, mail, and packages with precision and timeliness Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records Support office management tasks such as inventory tracking, supply ordering, and basic bookkeeping Assist with clerical duties including typing reports, maintaining files, and updating databases for smooth office operations Provide excellent customer support by addressing inquiries efficiently and professionally in person or over the phone Maintain high standards of phone etiquette while managing complex schedules and supporting administrative needs Support personal assistant responsibilities when needed, including calendar management and task prioritization

Requirements



Proven experience in office administration or reception roles with strong clerical skills Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Familiarity with multi-line phone systems and professional phone etiquette Bilingual abilities are a plus to serve diverse client needs effectively Strong organizational skills with keen attention to detail for proofreading, data entry, and filing tasks Ability to handle multiple priorities efficiently through effective time management and organizational skills Experience with QuickBooks or bookkeeping is preferred but not required Previous experience in medical or dental reception is advantageous but not mandatory Personal assistant or calendar management experience is beneficial for supporting executive schedules Demonstrated customer service skills with a friendly demeanor and positive attitude Knowledge of office management procedures combined with excellent typing speed and accuracy

Job Types: Full-time, Part-time

Pay: $8.00 - $12.00 per hour
