We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires excellent communication skills, proficiency in office management tools, and the ability to manage multiple tasks efficiently in a fast-paced environment. Prior office experience, including clerical duties and familiarity with medical or dental reception, is highly valued. Responsibilities
Greet visitors and clients warmly, ensuring a positive first impression
Manage multi-line phone systems with professionalism and courtesy, directing calls appropriately
Schedule appointments and maintain calendar management using Microsoft Office and Google Workspace tools
Perform data entry, filing, and maintain accurate records using QuickBooks and other office management software
Handle correspondence, including proofreading documents and managing email communications
Support office management tasks such as bookkeeping, invoicing, and basic administrative duties
Assist with customer support inquiries via phone or in person, providing excellent service and support
Maintain a tidy reception area and ensure all office supplies are stocked and organized
Utilize strong phone etiquette to handle inquiries efficiently and professionally
Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or similar bookkeeping software
Strong organizational skills with the ability to multitask effectively in a busy environment
Excellent communication skills, both verbal and written; bilingual abilities are a plus
Demonstrated office management or administrative experience, including clerical tasks such as filing and data entry
Familiarity with multi-line phone systems and professional phone etiquette
Ability to manage calendars efficiently using digital tools
Strong typing skills with high accuracy; attention to detail for proofreading documents
Customer service orientation with a friendly demeanor and problem-solving skills
Knowledge of medical or dental receptionist duties is advantageous but not required
Ability to adapt quickly to new software or procedures; excellent time management skills
