The Front Desk/Title Clerk is a critical dual role that serves as the
first impression of the dealership
while ensuring all vehicle sales and transfers are processed accurately and in compliance with state regulations. This position requires a professional demeanor, exceptional organizational skills, and a high degree of accuracy.
Essential Duties & Responsibilities
Front Desk/Receptionist Duties
Greet and Welcome:
Warmly greet all customers and visitors, determine the nature of their visit, and direct them to the appropriate person or department promptly.
Phone Management:
Answer a high-volume multi-line phone system, screen and direct calls, take accurate messages, and provide basic dealership information.
Administrative Support:
Maintain a professional and tidy front desk area, manage incoming and outgoing mail/deliveries, and assist with general office tasks as needed.
Cash Handling:
Process customer payments (cash, credit card, check) for parts, service, and down payments; issue receipts and accurately reconcile cash drawer daily.
Customer Service:
Address customer inquiries and concerns in a courteous and efficient manner.
Title Clerk Duties
Title Processing:
Process all new and used vehicle sales for registration and titling in the state in which they will be titled.
Documentation:
Prepare tax and title documents, ensuring accuracy and completeness for submission to the Department of Motor Vehicles (DMV).
Lien & Payoff:
Verify that all necessary funds have been collected and the correct lienholder has been paid off before processing title applications.
Accounting Support:
Prepare payoff checks for trade-ins and post vehicle sales and purchases to the accounting system.
Compliance:
Maintain a system to track all outstanding title work and report on the status of any missing or problem titles to management.
Knowledge:
Stay current on all state title laws, DMV regulations, and procedures.
Qualifications
Experience:
3 year(s) of administrative, clerical, or title processing experience, preferably within an automotive dealership setting.
Education:
High school diploma or equivalent required.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel) and general office equipment.
Experience with dealership management systems (DMS) such as Reynolds & Reynolds, CDK, etc., is a plus.
Excellent verbal and written communication skills.
Strong 10-key data entry skills and typing accuracy.
Personal Attributes:
Impeccable attention to detail, strong organizational and multi-tasking abilities, and a proven track record of handling confidential information with discretion.
Licensing:
Valid driver's license and clean driving record required.

Base Pay: $17.00 - $22.00 per hour
