Job Description

The

Front Desk Coordinator

is responsible for providing ongoing communication and support to families and parents with children enrolled with the Boys & Girls Clubs of the Sioux Empire (BGCSE). This position will work closely with the Billing Manager and program Director to assist with welcoming families into the organization, maintaining children's files, managing the waitlists, maintaining enrollment numbers and billing information, and help answer parent questions and concerns. This is a part-time position with working hours from 2:00 pm to 6:30 pm.


Essential Job Functions:



Welcome all children and families to programs and activities, introduce them to others, explain guidelines and rules, and encourage participation. Ensure child and staff safety by actively supervising the main entrance of the building. As needed, check customer ID's to ensure accurate child pick up procedures are being followed. Understand the weekly billing procedures and schedule. Assist families with providing billing statements and ledger comprehension. Collect and process in person payments via cash, check or credit/debit card and update accounts receivable. Assist families in applying for South Dakota Child Care Assistance and scholarship applications. Assist in monitoring the Procare Communication App and responding to parent messages. Assist Director, Assistant Director and Managers in calling parents to communicate schedules and relaying important messages. Keep the Director informed on customer concerns and relay important information. Assist with managing internal and external communications and awareness of the mission, services and activities related to the programs. Assist in providing families with accurate information in regard to BGCSE policies and South Dakota Child Care Licensing Rules and Regulations. Assist in maintaining files for children enrolled at BGCSE. Maintain confidentiality in reference to staff, and families served by BGCSE. Work closely with the ELA Director and Billing Manager to maintain the waitlist, enrollment numbers, and enrollment/withdrawal forms. Assist in minor cleaning duties including but not limited to: wiping down shared workspaces, washing entry area windows, vacuuming and taking out trash. Assist in processing BGCSE enrollments and other data entry related duties. Perform additional duties as assigned by the Director.

Education and Experience Requirements:



Previous experience working with children and youth or in a customer service setting is preferred. A valid CPR Certification or the ability to obtain and maintain CPR certification within 90 days of employment is required. The Boys & Girls Clubs of the Sioux Empire does provide training for those not certified.

Skills and Knowledge Requirements:



Must be organized with excellent time management skills and a proven ability to meet deadlines. Strong interpersonal and verbal communication skills. Ability to take initiative, prioritize duties, work independently, and as part of a team. Ability to remain flexible and adaptable to change. Must have computer knowledge and technical experience in office applications such as Excel, Outlook, Word, and Microsoft Office.

Work Environment and Physical Requirements:



Constant hearing, hand-eye coordination, mind-eye coordination. Intermittent speaking, standing, walking, kneeling, lifting, reaching, and squatting. Potential exposure to communicable diseases. Frequent lifting of objects under 20 pounds, and occasional lifting of items up to 75 pounds. Indoor and outdoor work with exposure to extreme temperatures in summer and winter.
