Scope of Position:
The Front Desk Associate is the first point of contact for all students, parents and visitors, answering telephone calls, providing accurate information, basic administrative support and monitoring the lobby, front & back door access areas.
Hours of operation:
During the academic school year is (Monday- Friday) 10:00-6:00; some evenings and occasional weekends. Music School is closed for all major holidays. Your typical schedule would be around 10-15 hours per week with additional hours for special events as needed.
We are looking for someone with availability at least one Saturday per month.
Primary Responsibilities:
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Maintains security by following procedures. Be a first responder for emergency situations throughout the school.
Keep safe and clean reception area by complying with procedures, rules, and regulations.
Skillful Communication with students, parents, faculty and staff.
Appropriate and pleasant telephone and customer contact etiquette.
Research and investigate information to enable strategic decision-making by others.
Interpret and follow instructions and then implement actions according to administrative policies and procedures.
Communicate and provide information by relevant methods internally and externally to assist and enable organizational operations and effective service to connecting departments.
Escalate issues to the proper management team member immediately.
Receive registrations, enter into the database and forward to the registration office.
Type letters, spreadsheets and email communications
Arrange meetings, conferences, assist with departmental programs as directed.
Manage, organize, and update relevant data using database applications.
Utilize Financial Edge to interpret financial information for students and families
Adhere to stated policies and procedures relating to health and safety of the School
Adhere to policies relating to the proper use and care of equipment and materials.
Contributes to team effort by accomplishing related results as needed.
Monitor and order supplies.
Process Cash and Credit Card Payments.
Handling incoming and outgoing mail/email, and telephone lines.
First Aid/CPR certified preferred. Background check required.
