This is an entry level position. We are seeking a dedicated and professional Front Desk Agent to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. We are a small business and a small team so naturally you will wear many hats and learn multiple systems (electronic health records, phone, marketing, etc.). Giving and receiving feedback is a necessity!
Duties
Greet and welcome guests in a friendly and professional manner.
Manage phone systems, directing calls appropriately and providing information as needed.
Perform data entry tasks accurately and efficiently, maintaining up-to-date records.
HIPPA compliance
Handle filing and organization of documents to ensure easy access to information.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Provide customer and practitioner support by addressing inquiries and resolving issues promptly.
Utilize Microsoft Office, CHARM, and Google Workspace for various administrative tasks including typing, proofreading, and document preparation.
Marketing: using Canva for marketing strategy, squarespace to send out 2x/ month newsletters
Maintain office management duties including inventory control of supplements, herbs, additional office supplies and ensure equipment is properly functioning.
Ability to work from home a .5 - 3 hours a week
Ensure a clean and organized front desk area that reflects professionalism.
Scan and print patient health records, fliers, lab work, marketing materials, & sensitive information, etc.
Participate in 60-90 day employee reviews where giving and receiving feedback helps further one's understanding of tasks, support providers, office staff and aid the clinic's mission-- to bolster the Gorge community's health.
Requirements
Previous experience in a front desk or administrative role is preferred.
Strong customer service skills with a focus on client satisfaction.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Excellent organizational skills with the ability to manage multiple tasks simultaneously.
Bilingual candidates are highly encouraged to apply for enhanced communication with diverse clientele.
Familiarity with multi-line phone systems and office management practices is essential.
Strong typing skills along with attention to detail for accurate data entry and proofreading.
Experience devising a marketing and brand strategy.
Working in tandem with other office staff and practitioners-- being a part of a team!
Experience as a dental or medical receptionist is a plus but not required.
