Job Duties & Responsibilities:
Act as primary contact for field personnel and safety team regarding the company Fleet (1,400 vehicles)
New Vehicle Procurement
Accident management including insurance claim reporting
Reporting for lease accounting, insurance renewal, and ad-hoc reports
Coordination of new vehicle deliveries, including scheduling of vehicle wraps and accessories
Preparation of expired lease vehicle returns
Review of Accounts Payable related to the Fleet expenses
Review invoices for accuracy
Tracking and processing vehicle transfers
Managing fleet fuel cards
Managing vehicle toll violations and/or traffic citations
Vehicle repair coordination
Maintaining database in vendor portals or vendor sites
Additional duties as requested
Skills & Qualifications:
Minimum Qualifications:
3+ years of experience of fleet coordination and administration, purchasing or logistics experience
Proficiency with Microsoft applications: primarily Word, Excel, and Outlook.
Customer service mindset
Strong time management and problem-solving skills
Excellent organization skills, accuracy, dependable work habits and good communication skills.
Ability to plan work and sequence priorities.
Ability to be flexible and handle a variety of tasks simultaneously.
Attention to details
Strong verbal and written communication skills, with the ability to convey information clearly and concisely.
Demonstrated ability to empathize with others' perspectives and creatively resolve issues to achieve positive outcomes and satisfaction for customers and employees.
A valid driver's license and ability to pass a background check and Motor Vehicle Check.
Preferred Qualifications:
Bachelor's Degree in related field preferred
Self-starter who takes responsibility and achieves results
Essential Job Functions:
Be able to lift and carry, drawings, personal computers, material, and spend significant time sitting etc.
Be able to lift up to 30lbs.
Be able to spend significant time standing and walking.
Be able to climb flights of stairs throughout a typical day.
Maintain a satisfactory driving record which, per Climatec's vehicle policy, if driving a company vehicle or participating in an auto allowance program.
