Responsibilities



Manage fleet-related administrative tasks, including vehicle registration, licensing, and maintenance records Coordinate scheduling for vehicle use, repairs, and inspections to ensure optimal fleet performance Maintain accurate data entry in fleet management software Handle incoming calls via multi-line phone systems with professionalism and courteous phone etiquette Support office management duties, including filing, proofreading documents, and organizing digital and physical files Assist with bookkeeping tasks related to fleet expenses using QuickBooks or similar accounting tools Provide exceptional customer service by supporting internal teams and external vendors with fleet inquiries Oversee calendar management for vehicle appointments, inspections, and maintenance schedules Support front desk operations with clerical tasks such as data entry, filing, and managing office supplies Ensure all documentation complies with company policies and regulatory standards

Skills



Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Excellent computer literacy with the ability to adapt to new software quickly Strong typing skills for efficient data entry and document proofreading Exceptional customer service skills with professional phone etiquette on multi-line phone systems Bilingual abilities are a plus for supporting diverse teams or clients Experience in clerical tasks such as filing, data entry, proofing documents, and calendar management Knowledge of office procedures including front desk operations and office supply management Ability to prioritize tasks effectively using time management strategies in a fast-paced environment Previous experience as a medical or dental receptionist or personal assistant is advantageous but not required
