This is an UA Financial Shared Services position that supports Indiana University (IU) Research. IU Research is responsible for research development, research compliance, and research administration. Working with university-wide offices, campus leaders, and deans, the Vice President for Research Office works to increase and diversify research and creative activities at IU, attract external funding for these activities, and develop public-private partnerships, technology transfer, graduate education, and inter-campus research opportunities.
Job Summary
---------------
The Financial Administrative Coordinator is the only Mastery level position within our central finance team supporting IU Research. It is solely responsible for transactional and program support for Centers, Institutes, and Museums (CIMs) that do not have their own administrative staff. Units relying on this position include Ostrom, Spirit in Place, NAGPRA, EMC, LMIC, CGB, OSME, IAS, ISBR, NCF, LARS, and Equity Accelerator.
Department-Specific Responsibilities
Processes transactions for purchasing, service contracts, travel, pcards, payments, reimbursements, and miscellaneous needs including maintaining records of financial transactions.
Provides program support for research centers, including but not limited to managing visiting scholar and fellowship programs, coordinating events and travel, monitoring budgets, and serving as a liaison among program managers, faculty, students, international visitors, and guests.
Collects and submits documentation and assists as needed in processing of student award payments for fellowship and fee remissions associated with Research Centers, Institutes, and Museums under IU Research.
Administrative Support for assigned Research Centers, Institutes, and Museums including reconciliation of accounts.
Responds to inquiries regarding financial policies and procedures including but not limited to Travel, Chrome River, Buy.IU, Purchasing, and P-Cards.
Serves as backup to ensure transaction and administrative needs associated with IU Research are met.
Performs other duties as assigned.
General Responsibilities
With minimal supervision, performs financial and administrative tasks related to processing financial or other administrative records.
Takes on more complex assignments and provides guidance to lower-level Financial Administration Coordinators.
Maintains records of financial transactions, compiles data, and prepares reports. May oversee the processing of documents into the university's central information systems (Travel, KFS, HRMS, etc.).
Investigates and resolves discrepancies that require more advanced knowledge and experience; following policies and procedures, recommends audits.
Assists in designing, documenting, and implementing processes.
Processes payroll and verifies accuracy of payroll information. Verifies accuracy of adjustments to payroll including supplements and garnishments.
Monitors financial accounts and ensures timely payments are made to payees.
Responds to inquiries regarding financial and/or personnel policies and procedures. Takes the lead on the most complex cases within their scope of work.
Serves as liaison to department and/or other university divisions.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
