About the Position
The Finance Manager plays a dual role: (1) leading day-to-day financial operations as RSS transitions its finance function in-house, and (2) providing administrative and program support to keep the organization running smoothly. This position is critical to ensuring accurate financial reporting, strong systems, and seamless coordination across finance, development, and program functions.
The ideal candidate is detail-oriented, organized, comfortable with accounting systems, and committed to the mission of RSS.
Primary Objectives
Oversee and manage in-house finance operations including accounting, payroll, reporting, and compliance.
Provide administrative and program support to leadership, staff, and volunteers.
Strengthen organizational systems to ensure accuracy, efficiency, and alignment with mission.
Key Responsibilities:
Finance & Accounting (Primary Function)
Manage full cycle accounting, including accounts payable, accounts receivable, and payroll.
Maintain the general ledger, prepare journal entries, and ensure timely and accurate month-end and year-end close.
Prepare and analyze monthly financial statements (balance sheet, profit & loss, budget vs. actuals, revenue vs. expenses, cash flow trends).
Support annual budgeting, forecasting, and cash flow management in partnership with the Executive Director and Treasurer.
Track grant expenditures and prepare monthly grant reimbursement submissions.
Coordinate and prepare for annual audit and 990 filing, including gathering documentation and supporting auditors.
Maintain financial policies, procedures, and internal controls to safeguard organizational assets.
Manage monthly reimbursement of federal expenses
Donor Relations & CRM
Accurately enter donations and pledges into Neon One CRM.
Reconcile contribution records with bank deposits.
Generate donor acknowledgment letters and receipts within 48 hours.
Provide donor data and giving trends to the Executive Director for stewardship.
Board & Committee Support
Prepare finance reports, board packets, slides, and follow-up materials.
Support finance and development committees with reporting, agendas, and documentation.
Administrative & Program Support
Provide general administrative support to the Executive Director and leadership team.
Support volunteer coordination, fundraising events, and program logistics.
Manage office operations including supplies, vendor communications, and mail processing.
Assist with data collection for grants, audits, and program evaluation.
Other duties as assigned.
Required Qualifications
Commitment to the mission and values of RSS.
Demonstrated experience applying Generally Accepted Accounting Principles (GAAP) to ensure accuracy, consistency, and compliance in financial reporting.
Minimum of 2 years nonprofit accounting or bookkeeping experience; background in accounting or finance strongly preferred.
Proficiency with accounting software (e.g., QuickBooks, Sage Intacct, or similar) and Google Workspace.
Strong organizational and problem-solving skills; detail-oriented with ability to meet deadlines.
Excellent communication skills with ability to work collaboratively in a cross-cultural environment.
Experience with CRM systems (Neon One preferred) a plus.
Education
Associate degree in accounting, finance, or related field required; bachelor's degree preferred.
