Summary:
Supervise and participate in processing business related transactions; supervise and perform clerical duties requiring skills in processing, cataloging, maintaining and retrieving a variety of records and documents for the New Hampshire Department of State Corporation Division.

MINIMUM QUALIFICATIONS:
Education/Experience: Equivalent combination of 4 years of education and experience after completion of high school. Education and experience must be in finance, accounting, business, management, customer service, information systems, or related field.
License/Certification: Valid Driver's License

Trainee Option: Candidates with an equivalent combination of 3+ years of relevant education and experience after completion of high school may be considered and hired in 'trainee status' for this position.

Responsibilities:
DETAILED TASKS (STANDARD):
DETAILED TASKS (AGENCY/POSITION-SPECIFIC):
Facilitate the accurate and timely deposits of all funds received across the agency by mail, in person, or electronically, followed through to their accurate receipting into the NHFirst system.
Reviews, approves and manages sub-system refunds of filing fees for rejected transactions.
Reconciles large volumes of credit card transactions daily as well as performing credit card refunds, answering customer inquiries and managing reporting while closely following procedures that maintain PCI compliance.
Accurately maintains historical financial records of receipts, deposits and refunded transactions.
Manages and supervises the maintenance, receipt and collection activities of accounts receivable.
Performs reconciliation of accounts payable activities between departmental records and detailed transaction registers.
Receipting and management of payments and adjustments of billing to cities and towns for their vital record activities.
Accurately records intergovernmental transactions from other state agencies as well as electronic payments from federal agencies that arrive in payment for services throughout the Department.
Utilizes competency in the use of computer applications including standard software such as Microsoft Word, Excel and Access as well as large agency subsystems such as SOSKB and QuickStart and expansive statewide systems such as NHFirst.
Reviews documents to verify accuracy of records and to ensure that any discrepancies or errors are corrected, and supervises staff inquiries about the same.
