The
Exhibit Estimator
plays a key role in ensuring accurate, competitive, and timely cost projections for client exhibits, environments, and custom display projects. The ideal candidate brings a strong foundation in
estimating and procurement
, ideally with experience in
construction, millwork, interiors, signage, museums, or similar fields
where material, fabrication, and labor costs are key drivers. Experience in the tradeshow or event industry is preferred but not required.
Essential Duties and Responsibilities
Estimating & Cost Analysis
Review drawings, scope documents, and client requests to develop detailed, accurate cost estimates.
Analyze project materials, finishes, fabrication methods, and installation requirements.
Ensure estimates meet client budgets, show regulations, and internal profit margin targets.
Track actual costs vs. estimates to refine accuracy over time.
Procurement & Vendor Management
Solicit and evaluate pricing from vendors across multiple categories (carpentry, graphics, electrical, flooring, AV, logistics, etc.).
Source and qualify new vendors to expand capabilities and maintain cost competitiveness.
Maintain a database of vendor rates, services, and performance.
Negotiate pricing and schedules to balance cost, quality, and deadlines.
Cross-Functional Collaboration
Partner with design and project management teams early in the concept phase to provide cost input and feasibility recommendations.
Collaborate with sales on client proposals, ensuring clarity and alignment on scope and pricing assumptions.
Support project managers in clarifying estimate details and vendor commitments throughout production.
Financial Reconciliation & Continuous Improvement
Participate in post-project reviews to compare estimated vs. actual costs and identify variances.
Recommend adjustments for future estimates and cost-saving opportunities.
Stay current on material pricing, labor rules, and industry trends.
Required Skills & Experience
3+ years of estimating or cost analysis experience
in exhibits, construction, millwork, interiors, signage, museums, or related industries.
Ability to read and interpret engineering and fabrication drawings.
Strong financial acumen with knowledge of markups, margins, and P&L impact.
Proficiency in Excel and estimating software; ability to produce clear, organized quote documents.
Detail-oriented with excellent vendor communication and negotiation skills.
Proven ability to manage multiple estimates under tight deadlines.
Knowledge of exhibit systems (Octanorm, Agam, BeMatrix, etc.) a plus.
Work Environment & Schedule
Full-time position with flexibility to work extended hours or weekends as needed during peak project cycles.
Collaborative, team-oriented environment with cross-departmental interaction.
Noise level typically low to moderate.
