We are seeking a highly organized, proactive Executive Operations Assistant to support the CEO and keep the business running smoothly. This is a hybrid role combining executive administrative support with light operations coordination. You are detail-driven, tech-savvy, polished with clients, and able to work independently with minimal oversight. You thrive in a small, fast-moving, high-performing environment.

PRIMARY RESPONSIBILITIES

Assist with the CEO's scheduling, communications, and administrative needs Act as logistical point person for consultants and coaches Perform daily administrative tasks, inbox triage, and prioritization Coordinate project logistics, timelines, deliverables, and light reporting Prepare, update, and format slide decks, documents, and templates Convert existing content into social media and newsletters Manage virtual meeting setup, recording, and follow-up Maintain internal systems, documentation, and workflow processes Support event logistics in Portland (occasional) Provide reliable, polished client-facing support when needed
YOUR SKILLS

Exceptional verbal and written communication (impeccable grammar/spelling) Strong organizational and time-management skills -- nothing falls through the cracks High attention to detail and ability to spot formatting/design inconsistencies Proficiency in Google Workspace (Gmail, Calendar, Docs, Sheets, Slides) Competence in Microsoft Office (Word, Excel, PowerPoint) Experience with WordPress and Squarespace Competence in Canva and basic photo/video editing Ease working with digital tools, platforms, and light tech troubleshooting
