Job Summary



We're seeking a high-energy Executive Assistant / Office Manager to support our founding team and keep our operations running smoothly. This role reports primarily to one founding member, with additional support for others as needed, and includes fundamental office management duties. You'll gain exposure to all founders, investors in GreenMars and our projects, and our sister company, Acadia Realty Partners, which raises and allocates capital across our developments. Key Responsibilities



Executive Support: Manage calendars, schedule meetings, and coordinate communications for founding members. Handle occasional travel arrangements and prepare materials as needed. Office Management: Oversee office supplies, facilities maintenance, vendor relationships, and general upkeep to ensure a productive workspace. Event Coordination: Plan and execute internal events, such as happy hours, milestone celebrations, and birthday recognitions, to foster team morale. Administrative Support: Assist with ad-hoc tasks across the organization, including participation in Acadia Realty Partners activities. While client-facing work is rare, flexibility to step in on short notice is key--we provide ample support and resources to set you up for success. General Duties: Tackle small, essential tasks to maintain smooth operations, adapting quickly to evolving needs in a startup setting.

Qualifications



Open to candidates at any experience level; compensation will vary based on background. High energy with a "get-it-done" attitude and the ability to learn new things rapidly on the go. Strong organizational skills, attention to detail, and the capacity to multitask in a dynamic environment. Comfort thriving in a low-structure world while helping build processes--ideal for those who love startup chaos over rigid corporate setups. Proficiency in standard office tools (e.g., Microsoft Office or Google Workspace) is a plus; real estate-specific knowledge is not required but welcomed. Ability to maintain discretion with sensitive information involving founders, investors, and projects.

Work Arrangement



This is a full-time role with standard hours from 8 AM to 5 PM, primarily in our Portland, Maine office, though partial remote work is possible. Occasional off-hours work may be needed for evening meetings or urgent issues, but it's not the norm--even our founders prioritize work-life balance and family time most evenings.

Pay: $54,390.09 - $70,000.00 per year
