Job Summary


We are seeking a highly organized and proactive Executive Assistant/Office Manager to support our executive team and oversee daily office operations. This role requires a professional with excellent administrative skills, strong attention to detail, and the ability to manage multiple tasks efficiently. The ideal candidate will be instrumental in coordinating projects, managing schedules, and ensuring the smooth functioning of the office environment.

Duties



Provide comprehensive executive administrative support, including calendar management and scheduling meetings using Microsoft Outlook Calendar and Google Workspace. Coordinate and plan events, meetings, and travel arrangements to ensure seamless execution. Manage office operations, including filing, data entry, and maintaining organized records. Handle correspondence via multi-line phone systems with professional phone etiquette and perform transcription and proofreading as needed. Utilize QuickBooks for basic bookkeeping and financial record keeping. Assist with project coordination by tracking deadlines, preparing reports, and supporting team initiatives. Oversee front desk responsibilities, including greeting visitors and managing phone calls efficiently. Use Office management tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and DocuSign for document signing processes. Support personal assistant duties for executives as required, including personal scheduling and task management. Maintain organizational systems to improve workflow efficiency and office productivity.

Skills



Proven experience in office management or administrative roles with strong clerical skills. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and familiarity with Microsoft Outlook Calendar. Experience with QuickBooks, Data Entry, Bookkeeping, and basic accounting practices. Strong written and verbal communication skills with exceptional phone etiquette. Ability to proofread documents accurately and perform transcription tasks efficiently. Knowledge of event planning logistics and project coordination techniques. Familiarity with multi-line phone systems and front desk operations. Demonstrated computer literacy with the ability to adapt to new software tools quickly. Experience supporting executives or as a personal assistant is preferred but not required.
