The role

To provide administrative and secretarial assistance.

Key accountabilities

  • Coordinate Manager\xe2\x80\x99s diary and schedule, including;
    • Managing all travel arrangements and if requested preparing an itinerary folder with relevant trip details
    • Arranging meetings, including; room bookings and set up, organizing refreshments, and preparing documents as appropriate
    • Liaising with other Executive Assistants / Personal Assistants when scheduling meetings, travel arrangements and events
  • Compile Manager\'s expenses and enter into Concur for approval and reimbursement in a timely manner and in accordance with Aspen\'s expenses policy
  • Read and route incoming mail, and if requested email, and complete any photocopying / document printing as requested
  • Prepare PowerPoint presentations and assist in report generation as requested
  • Provide support to ad-hoc projects as requested
  • Provide administrative and organizational support to internal and external events/conferences and where appropriate work with the Group event management team to organize and execute events on behalf of Aspen
  • Responsible for submitting, and when within delegation authorities approving, invoices that have been submitted on Concur
  • Responsible for tracking corporate T&E budgets and ensuring that Managers are regularly updated on spend-to-date
  • Provide administrative and organizational support to internal staff and external clients as needed
  • As requested, attend meetings to take minutes and action items. Follow up on action items as required

Skills & experience

  • Relevant experience working for a senior executive(s)
  • Strong written and verbal communication skills
  • Strong organizational and prioritization skills
  • Technical and presentation skills suitable for a professional environment
  • Strong ability to build relationships with members of the business
  • Self-motivated team player with good interpersonal skills and a willingness to use own initiative within authorized parameters
  • Discretion when dealing with confidential and sensitive information
