Position Summary
The Executive Assistant for Marketing and Public Relations provides high-level administrative, operational, and communications support to the Chief Communications Officer and the MPR department. This position manages scheduling, purchasing, and event logistics; coordinates departmental communications; assists in producing and distributing internal and external materials; and ensures the smooth execution of day-to-day operations that support the college's marketing, media, and outreach efforts.
Duties & ResponsibilitiesMaintain calendars and facilitate department meetings.
Manage notifications of events, request meeting materials, draft and distribute agendas and presentation materials.
Record meetings, create meeting summaries, and extract and track action items.
Manage purchasing expenditures and ensure adherence to financial policies and procedures.
Review invoices, prepare purchase requisitions, obtain prior authorizations, and process purchase order payments.
Reconcile P-Card activity, develop expense reports, submit and track to completion.
Monitor and maintain departmental budgets.
Provide effective communication and excellent customer service through phone, email, and written inquiries, including research, follow-up, and timely responses.
Maintain office inventory, supplies, and equipment, and coordinate work orders and vendor visits.
Track and manage project deadlines using task management software.
Assist in drafting, proofreading, and distributing newsletters, press releases, and public announcements.
Coordinate logistics for public events, photo/video shoots, and community outreach activities.
Monitor expiration dates of administrator memberships and subscriptions, negotiate renewal pricing, obtain necessary documents for renewals, and maintain data in Financial Management systems.
Monitor reconciliation process and confirmation of payment.
Maintain and create computerized SFCC databases and collect information to revise and maintain program websites and offerings.
Knowledge, Skills, and Abilities:Knowledge of executive-level administrative procedures, calendar management, and scheduling tools.
Excellent written and verbal communication skills, with the ability to draft, proofread, and distribute materials professionally.
Awareness of event planning, community outreach, and logistics coordination.
Skill in managing notifications of events and coordinating meeting materials, agendas, and presentations.
Strong organizational and multitasking skills to manage multiple projects and deadlines.
Skill in preparing, editing, and formatting documents with attention to detail and accuracy.
Ability to effectively coordinate schedules, meetings, and travel arrangements.
Proficiency in MS Office Suite; ability to maintain and create computerized databases and update program websites and offerings.
Proficiency in digital communication tools and office technology systems.
Strong logistical planning and coordination abilities for events, photo/video shoots, and outreach activities.
Skill in tracking project milestones and deadlines using task management platforms.
Skill in managing departmental budgets, reconciling accounts, and tracking expenditures.
Ability to handle sensitive information with discretion and maintain high ethical standards.
Ability to work independently with minimal supervision while contributing to a team-oriented environment.
Minimum Qualifications:Associate degree
4 years' job-related experience
Education may be substituted for relevant experience on a year-for-year basis.
Preferred Qualifications:Experience in a higher education environment.
Physical Demands and Working Conditions:Work is normally performed in a typical interior/office working environment.
Work Hours:Typically, 8:00 a.m. - 5:00 p.m., Monday through Friday. May be required to work after-hours and/or weekends.
