Duties



Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision. Coordinate a variety of projects by tracking deadlines, preparing materials, and liaising with internal teams to ensure timely completion. Organize and plan events, including logistics, venue arrangements, catering, and attendee communication to deliver memorable experiences. Provide comprehensive executive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and preparing reports. Handle phone etiquette professionally across multi-line phone systems, screening calls, taking messages, and directing inquiries appropriately. Oversee office management tasks including filing, data entry, maintaining office supplies, and managing front desk responsibilities to create an efficient workspace. Support personal assistant duties such as travel arrangements, personal scheduling, and confidential information management. Ensure all documentation is accurate through proofreading and transcription services while maintaining high standards of data entry accuracy. Use office software including Microsoft Office Suite (Word, Excel, PowerPoint) to prepare presentations and reports that meet professional standards. Manage electronic signatures via DocuSign for contracts or approvals efficiently while maintaining document security. Deliver excellent customer service by addressing inquiries promptly and courteously at the front desk or via email correspondence.

Experience



Proven experience as an executive assistant or in a similar administrative role supporting senior leadership in a fast-paced environment. Demonstrated proficiency with office management tools such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and DocuSign. Strong organizational skills with the ability to multitask effectively while maintaining attention to detail in all tasks. Excellent typing speed combined with strong proofreading and transcription capabilities to produce error-free documents swiftly. Experience coordinating events from planning through execution to ensure seamless delivery of meetings or corporate functions. Familiarity with multi-line phone systems and professional phone etiquette to handle inquiries confidently. Ability to manage calendars meticulously using Microsoft Outlook Calendar or Google Calendar for optimal scheduling efficiency. Knowledge of basic bookkeeping practices including data entry and expense tracking to support financial processes. Exceptional communication skills--both written and verbal--to interact professionally with internal teams and external contacts alike. Prior experience in office or clerical roles that demonstrate reliability in managing filing systems, data entry tasks, and front desk responsibilities.
