Executive Assistant & Reception Supervisor

Job Description

We are seeking a highly organized, proactive Executive Assistant to provide high-level administrative support to senior management while overseeing the daily operations of the reception area. This role is ideal for someone who thrives in a face-paced environment, anticipates needs, and handles confidential information with discretion and professionalism.

Executive Assistant Duties



Maintain confidentiality and handle communications with exceptional professionalism. Assist visitors and callers with concerns and issues, tactfully assisting or referring them appropriately. Coordinate and schedule meetings, conferences, and events (including logistics, agendas, and minutes). Prepare reports, presentations, and meeting minutes. Prioritize and handle incoming communications, ensuring timely and appropriate responses. Maintain filing system (digital and physical) for the CEO's office and ensure compliance with record-keeping requirements. This position has Board and Stakeholder duties, as well as Community and Stakeholder Relations. Provide Organizational and Strategic Support. Provide Emergency Preparedness Support.

Reception Supervisor Duties



Supervise, coordinate and support reception staff to ensure professional front-desk experience. Oversee visitor management, calls, and front desk operations. Ensure reception standards, protocols, and appearance are consistently maintained. Train, schedule, and evaluate reception team performance. Manage the master reception schedule and coordinate time-off.

Requirements



Diploma or degree in Business Administration or related field. Minimum 3 to 5 years of progressive executive administrative experience supporting C-level leadership. Minimum of 3 to 5 years of supervisory experience. Exceptional organizational, communication, interpersonal abilities and time-management and problem-solving skills. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools. Strong attention to detail and ability to multitask efficiently and effectively. High level of discretion and confidentiality. Professional demeanor and customer service orientation. Excellent written and verbal communication abilities. Proven track record of handling sensitive information with discretion.
