Pay Range:
The base pay range for this position is
$27.00-$40.00 Hourly
however, base pay offered may vary depending on job-related knowledge, skills, and experience.

Work Schedule for this Position: Monday-Friday 8am-5pm; occasional evenings also required

Position Overview:
The Executive Assistant provides high-level administrative and secretarial support to the Chief Executive Officer, Chief Financial Officer, Chief Medical Officer, Chief Physicians Officer and Board of Commissioners. This position interacts regularly with internal and external stakeholders, exercises considerable discretion and independent judgment, and ensures efficient operations of the Administration office.
A Day in the Life:Coordinate calendars and schedules for the Chiefs that they support ensuring necessary communication, materials, and follow-up. Plan and organize internal and external meetings, conferences, and special events, including room reservations, catering, technology needs, and materials preparation. Provide administrative support to the Board of Commissioners, including preparation and distribution of agendas and board packets, meeting logistics, and recording and preparing minutes. Record, prepare, and maintain minutes for designated committees and meetings; ensure timely distribution and appropriate filing. Prepare, edit, and format professional, confidential documents and correspondence, including reports, presentations, and spreadsheets. Serve as a primary contact for Administration, responding to inquiries from the public, Board of Commissioners, physicians, tenants, vendors, and staff, and directing issues to appropriate leaders. Coordinate patient concerns by gathering pertinent information, documenting in the risk reporting system, and forwarding to appropriate leaders for follow-up and resolution. Utilize hospital software platforms, including high reliability/risk reporting systems, and maintain proficiency with Microsoft Office and other office technologies. Oversee basic office operations for Administration, including equipment functionality, supply ordering, and coordination of vendor services. Communicate building maintenance needs and safety issues to appropriate personnel and support tenants with signage, mail distribution, and emergency procedures.

About You!
This Job is For You if You Have:High school diploma or equivalent. Minimum of three (3) years of experience in an executive administrative or executive assistant role. Demonstrated experience scheduling and coordinating complex meetings and events. Demonstrated experience preparing minutes, reports, spreadsheets, presentations, and professional correspondence. Ability to acquire and maintain a Notary License to assist with hospital business. Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard office equipment. Strong written and verbal communication skills with excellent spelling, grammar, and document formatting. Exceptional organizational and time-management skills with the ability to prioritize and manage multiple tasks and deadlines. Demonstrated ability to exercise sound judgment, discretion, and maintain confidentiality. Strong interpersonal skills and the ability to build collaborative, professional relationships at all levels of the organization. Ability to work independently with minimal supervision in a fast-paced environment. High attention to detail and accuracy in all work products.

A Wow if You Have:Associate's degree in Business Administration or related field. Certification in Organization Management or as an Administrative Professional. Broad experience working in healthcare or a similar complex, regulated environment.
