Responsibilities

This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. We are looking for applicants who have a constant record of high achievement, professionalism, reliability, and excellent organizational skills. Position is based in Providence, Rhode Island with limited travel as required.

  • Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
  • Schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.
  • Complete a broad variety of administrative tasks, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
  • Anticipate needs in advance of meetings, conferences, etc.
  • Provide event management support as requested.
  • Provide hospitality to all guests and help to create a welcoming environment.
  • Arrange domestic and international business travel, complete travel & expense reports, and manage logistics of travel-related activities.
  • Respond to inquiries related to conferences, vendor outreach, etc.
  • Coordinate and drive effective cadence of functional staff meetings by preparing agendas, presentations, and logistics.
  • Create, design and develop Powerpoint presentations
  • Provide administrative support for day-to-day operations and coordinate high value / cross-functional initiatives and projects.
  • Assist with office management within area of responsibility - including ordering of office supplies, catering, etc.
  • Develop a sound understanding of current business issues and be able to provide timely advice to the executive. In addition, this role will act as a liaison and a problem solver.
  • Manage vendor agreements, contracts, and invoicing with consultants and vendors; establish PO\'s and coordinate the payment of the invoices in scope.
  • Become a central point of contact for the coordination of the executive\'s activities and ensure preparation of relevant documents and briefing material. In addition, creating and maintaining weekly/monthly/quarterly department reports as directed.
Qualifications

Education:
  • Bachelor\'s degree in business administration, or related field.
Experience:
  • A minimum of 2 years of advanced administrative/project coordination experience working with senior level management
Qualifications:
  • Positive can-do personality and ability to be forward thinking
  • Strong ability to execute work with a diversity, equity, and inclusion lens.
  • Significant executive support experience, including supporting executives. Profit or Nonprofit board experience is highly preferred.
  • Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
  • Strong verbal and written communication skills.
  • Exceptional organizational skills and impeccable attention to detail.
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, etc
  • Make appropriate, informed decisions regarding priorities and available time.
  • Ability to complete a high volume of tasks and projects with little or no guidance.
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
  • Able to maintain a high level of integrity and discretion in handling confidential information.

At IGT, we consider a wide range of factors in determining compensation, including background, skills, experience, and work location. These factors can cause your compensation to vary. The estimated starting compensation range is $54,500 - $105,000. The actual pay offered may end up being higher or lower. The Company will comply with all local pay requirements and collective bargaining agreements, where applicable.

Base pay is only one part of our Total Rewards program. Sales roles may be eligible for commission payments, while other roles are eligible for discretionary bonuses .
