We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to senior management. The ideal candidate will possess excellent communication skills, demonstrate strong attention to detail, and be adept at managing multiple tasks efficiently. Duties
Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements.
Prepare and proofread correspondence, reports, presentations, and other documents with high accuracy through proofreading and transcription skills.
Coordinate events including planning logistics, managing invitations, and overseeing event execution.
Handle phone etiquette for multi-line phone systems, screening calls, taking messages, and directing inquiries appropriately.
Perform data entry and bookkeeping tasks utilizing QuickBooks and other office management software to ensure accurate financial records.
Oversee office management duties such as filing, document organization, front desk responsibilities, and maintaining office supplies.
Assist with project coordination by tracking deadlines, preparing agendas, and supporting team initiatives.
Provide executive administrative support including personal assistance tasks as needed to ensure executives' productivity.
Utilize office software such as Microsoft Office Suite (Word, Excel, PowerPoint) for various administrative functions.
Support customer service efforts by maintaining professional communication with clients and stakeholders.
Qualifications
Proven experience in an administrative or executive assistant role with office management responsibilities.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Excellent typing speed and proficiency in data entry for efficient document processing.
Demonstrated experience with project coordination and event planning.
Proficiency in Microsoft Office (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace, DocuSign, QuickBooks, and multi-line phone systems.
Exceptional proofreading and transcription abilities ensuring high-quality documentation.
Effective communication skills with professional phone etiquette and customer service experience.
Ability to handle confidential information with discretion and professionalism.
Office experience including filing systems, clerical tasks, front desk operations, and general office support is preferred. This position is integral to maintaining smooth operations within our organization by providing dedicated support at the executive level while fostering a professional work environment focused on efficiency and excellence.
