Gritman Medical Center is seeking a highly skilled and proactive
Executive Assistant
to provide administrative support to senior leadership. This position is ideal for a detail-oriented professional who thrives in a fast-paced environment and can handle confidential information with integrity. The successful candidate will excel in managing executive calendars, coordinating meetings, and juggling multiple priorities with efficiency and professionalism.
Key Responsibilities:
Calendar Management:
Plan and coordinate schedules, ensuring deadlines are met.
Meeting Coordination:
Schedule and organize meetings, including preparation of agendas, taking minutes, and following up on action items.
Travel Arrangements:
Organize cost-effective travel logistics, including airfare, accommodations, and ground transportation.
Communication:
Act as a liaison between executives and teams, ensuring seamless communication and collaboration.
Project Support:
Track key deliverables, drive task completion, and support the execution of team activities and initiatives.
Confidentiality:
Handle sensitive information with discretion and professionalism.
Qualifications:
Experience:
Minimum of 3+ years of experience providing executive-level support in a fast-paced environment.
Education:
Bachelor's degree preferred but not required.
Skills:
+ Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
+ Exceptional organizational skills with attention to detail.
+ Strong judgment, problem-solving skills, and adaptability.
+ Ability to multitask and prioritize effectively with little guidance.
+ Excellent written and verbal communication skills.
Work Environment & Physical Demands:
Office-based with significant computer work (up to 75% of the day).
Minimal lifting (up to 5 lbs.) and occasional kneeling, stooping, and climbing.
Inside work environment with minimal exposure to chemicals and biohazards.
