This is a sales-forward, operations-critical support role that keeps the front end of DEVELOP moving at extreme velocity. You will enable Matt Moseman (President) to focus on major deals and strategy while ensuring the sales pipeline, customer onboarding, invoicing, and communication never slow down.
You support the entire front end -- not by owning it, but by keeping it fast, clean, and frictionless.
You will manage Matt's calendar and inbox, execute follow-ups, run HubSpot, coordinate POs and milestone invoices, and deliver a premium client experience.

Key Responsibilities
1. Executive Support & Calendar Management
Control Matt's calendar based on priority, not availability
Protect focus blocks, eliminate unnecessary meetings
Triage inbox, flag urgent items, draft replies
Prep Matt for meetings with briefs, recaps, and next steps
2. Sales Pipeline & HubSpot Execution
Live inside HubSpot: update deals, stages, tasks, and follow-ups
Follow up with all warm leads within 1 business day - email + phone
Send discovery call confirmation, prep materials, and recap emails
Maintain pipeline cleanliness: zero stale deals, zero overdue tasks
Build simple dashboards, weekly sales reports
Support Matt by removing sales admin, tracking leads, and injecting speed
3. Client Experience, Project Accounting & Revenue Forecasting
Manage onboarding from PO ? kickoff within 24 hours
Send W9s, ACH/wire details, intake form, contact sheet, onboarding PDF
Coordinate POs, invoicing milestones, and payment follow-through
Ensure the client journey is smooth between Sales ? Engineering ? Ops
Track payment status across all projects
Flag upcoming milestone payments and overdue invoices
Build and maintain 6-month revenue and cash flow forecasts based on signed deals, active milestones, and expected billing
Provide weekly reports on revenue progress, cash expectations, and gaps to target
4. Administrative, Document, & Trade Show Support
Maintain proposal templates, SOPs, onboarding forms
Assist with proposals, formatted decks, and polished client materials
Support trade show logistics
Execute lead capture and post-show follow-up sequences
Maintain organization across lead lists, Calendly links, CRM tasks
Run Payroll in ADP with OnePan (We will train)
2-7 years in EA, Sales Ops, Client Success, or Project Coordination
Degree in Business, Marketing, Communications, or Ops Daily CRM usage (HubSpot preferred)
Strong written communication
Calendar + inbox support for a high-velocity leader
Familiarity with POs, invoicing, and project accounting
Excellent responsiveness and follow-through
High attention to detail and task ownership

Compensation & Benefits
Salary: $60K-$75K based on experience
Team Bonus: Profit sharing if revenue goals are met.
