We are seeking a highly organized and proactive Executive Assistant to support our leadership team and ensure smooth daily operations. This dynamic role requires a motivated individual with exceptional administrative skills, a keen eye for detail, and the ability to manage multiple priorities efficiently. Responsibilities



Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar and Google Workspace. Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and professionalism. Organize and coordinate events, meetings, and travel arrangements to ensure flawless execution. Manage office operations by overseeing filing systems, data entry, bookkeeping with QuickBooks, and maintaining office supplies inventory. Handle multi-line phone systems with excellent phone etiquette while directing calls appropriately and taking detailed messages. Assist with project coordination by tracking deadlines, preparing agendas, and following up on action items. Support personal assistant duties such as managing personal schedules or errands as needed to facilitate executive productivity. Maintain confidentiality of sensitive information while providing exceptional customer service to internal teams and external contacts. Utilize office management software like Microsoft Office Suite and DocuSign for document signing and workflow management.

Experience



Proven experience as an executive assistant or in a similar administrative role with a strong background in office management and clerical tasks. Demonstrated expertise in calendar management, travel coordination, event planning, and project support. Proficiency in computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, data entry systems, and multi-line phone systems. Experience with bookkeeping tools such as QuickBooks and familiarity with basic bookkeeping practices. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Excellent typing speed along with proofreading and transcription skills to produce accurate documents swiftly. Previous experience in customer service or front desk roles is highly desirable. Knowledge of office procedures including filing systems, document management software like DocuSign, and office supply management is preferred. Pay: $35,000.00 - $40,000.00 per year
