Essential Job Functions:

Administrative:



Greets visitors Answers/transfers phone calls, take messages and maintain internal telephone listing Schedules appointments & meetings, maintains calendars, distributes mail, orders supplies, etc. Primary Notary of the County Council's Office, limited to County items Preparation and distribution of constituent letters Manages files of departmental contracts, leases, agreements, grants, etc. Maintains record and retention schedules Distributes various communications to department heads, external organizations and other government entities Contributes to special projects as assigned by the County Manager and assists other departments, as needed Communicates directly with residents in response to inquiries about County government; refers inquiries to subject matter experts when applicable

Boards & Committees:



Serves as administrative support Attends meetings and prepares official records of the Boards, drafts documents, etc. Obtains signatures from respective Chairperson on appropriate document Manages the proper recordings Maintain the board book for all County boards and committees Communicates with various departments regarding reappointments

Council Meetings:



Completes followup initiatives relating to boards/committees Attends Council meetings as needed Serves as primary backup to Executive Operations Specialist in regard to attendance and recording at County Council Meetings

Performs all other duties as assigned by the County Manager

Education/Experience/Certifications (minimum qualifications):



High School Diploma (Associate's degree preferred) with three or more years of administrative experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job Knowledge of standard office procedures and office software, to include Microsoft Office Possess strong written and verbal communication skills and organizational and multitasking skills with attention to detail and accuracy Familiarity with local government operations and administrative procedures preferred. Possess a high level of integrity, with the ability to maintain confidentiality and handle sensitive information with discretion Be or become a Notary Republic within first year of employment Possess a valid driver's license

Physical requirements and working environment:



Must be physically able to operate a variety of machinery and equipment including a computer, copier, telephone, and communications equipment. Must be able to use body members to work, move or carry objects or materials. This position requires: walking, standing, bending, stooping, pushing, pulling, lifting, grasping, feeling, seeing, talking, hearing, and repetitive motions. Must be able to exert up to twenty pounds of force occasionally, and/or up to ten pounds of force frequently. Physical demand requirements are at levels of those for light work. Must be able to stand, walk, and traverse department and community for extended periods. Capable of ascending stairs and pedestrian areas as needed. Clear vision and hearing, including the ability to communicate effectively in various environments.

Other:



May be required to work on religious holidays. Regular and predictable attendance is required. Must work cooperatively with others. When position requires vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by Dorchester's safe driving policy.
