Position Purpose and Objectives



America's Thrift Stores is seeking a highly organized and proactive Executive Assistant to provide essential administrative and operational support to the CEO and executive leadership team. This role ensures smooth day-to-day operations by coordinating calendars, meetings, communications, and light project support. The ideal candidate is detail-oriented, discreet, and enjoys supporting multiple leaders in a dynamic, mission-driven environment.



Roles and Responsibilities



Provide comprehensive administrative support to the CEO and executive team, including calendar management, meeting coordination, travel arrangements, and expense reporting. Coordinate and prioritize incoming communications, ensuring timely and appropriate responses on behalf of the executive office. Prepare and edit correspondence, presentations, reports, meeting materials, and follow-up documentation. Plan and support executive meetings, board meetings, off-site events, and company gatherings, including agenda creation, minute-taking, and tracking of action items. Act as a liaison between the executive team and internal/external stakeholders, facilitating clear and professional communication. Manage confidential information with a high degree of integrity and discretion. Maintain organized digital filing systems and key executive documents. Track deadlines, deliverables, and projects to ensure follow-through and completion. Assist with internal communications, special projects, and cross-functional initiatives as assigned by the CEO or executive team. Identify and implement improvements in administrative processes to enhance efficiency and support executive operations.

Skills and Qualifications



2+ years of administrative or executive support experience (preferred) Strong organizational, communication, and time management skills Proficient in Microsoft Office Suite and Google Workspace Ability to manage multiple tasks and deadlines with minimal supervision High level of professionalism and confidentiality Alignment with America's Thrift Stores' mission and values Experience in a nonprofit, retail, or fast-paced entrepreneurial environment Familiarity with travel and expense management platforms Successful completion of background check, motor vehicle check, and drug screen.

Physical Demands:

Frequently - Carrying up to 50 lbs., pushing and pulling up to 25 lbs., lifting up to 50 lbs., climbing up to 14-foot height, balancing, stooping, kneeling, crouching, handling and smelling. Frequently - Walking on tile/concrete, bending, feeling, and reaching waist/overhead level. Continuously - Standing on tile/concrete, talking, seeing, and hearing.

Other:

Mostly regular and weekend hours, occasionally working evenings and holiday hours as needed. Working environment includes inside of building with semi- controlled temperatures and outside conditions with varying weather and temperatures.
