Position Overview





We are seeking a highly organized and proactive

Office Manager/Executive Assistant

to join our team. This role is integral to the efficient operation of our office and provides critical support to our executive team. The ideal candidate will be an independent, detail-oriented professional who thrives in a dynamic environment.




Key Responsibilities:





Office Management


Front Desk Oversight

: Maintain a professional and welcoming front desk environment, manage calls, walk-ins, and emails.

Mail Management

: Coordinate mail pickups/drop-offs, manage UPS and FedEx accounts.

Supply Management

: Order, organize, and deliver office supplies for the entire office, ensuring adequate stock levels.

Breakroom & Common Space

: Ensure spaces are clean and well-maintained, coordinate with cleaning services and plant vendors.

Breakroom Stock

: Keep the breakroom organized and well-stocked with snacks and accessories.

Employee Parking Management

: Oversee parking programs and resolve parking-related issues.

Employee Recognition Events

: Plan and execute events for birthdays, work anniversaries, holidays, and other special occasions.

Office Communication

: Draft and distribute office-wide communications related to space, parking, holidays, and other updates.


Executive Support


Travel Coordination

: Manage and maintain travel arrangements using Acendas/Deem.

Communication Development

: Draft internal and external communications for the executive team.

Presentation Preparation

: Create polished PowerPoint presentations, Excel reports, and Word documents.

Visitor Agendas

: Organize agendas and schedules for executive visitors.

Ad Hoc Support

: Assist with miscellaneous tasks, including meeting and travel-related needs.

Social Media Management

: Oversee social media activities for the President of Brightwater.
