Position Overview



The Executive Assistant to the CEO at Curtis Homes, LLC serves as a key strategic and administrative partner, ensuring the CEO's time, priorities, and communications are managed with exceptional efficiency and professionalism. This role is responsible for overseeing the CEO's schedule, facilitating clear and timely communication, and supporting executive-level operations that enable the CEO to focus on leadership, vision, and strategic initiatives.

By providing structure, organization, and dependable follow-through, the Executive Assistant enhances the CEO's capacity to lead the company and ensures continuity across high-level projects and decisions. Success in this role requires a highly organized, proactive professional with excellent judgment, strong communication skills, and the ability to anticipate needs before they arise. The Executive Assistant will work closely with the CEO, leadership team, and internal stakeholders to coordinate meetings, manage correspondence, prepare documents and presentations, and streamline executive priorities. Their ability to manage confidential information, handle competing deadlines, and maintain a high level of professionalism will be essential to supporting efficient decision-making and smooth executive operations.

Responsibilities



This role includes, but is not limited to, the following:

Manage the CEO's calendars, scheduling appointments, meetings, and travel arrangements

Manage the CEO's emails and assist with filtering and prioritizing the emails

Serve as a primary point of contact for the CEO

Prepare meeting agendas, presentations, meeting minutes and supporting documents

Coordinate follow-ups, action items, and deadlines on behalf of leadership

Utilize various technology platforms for researching, creating, and maintaining documents, forms, policies, procedures, and other corporate materials.

Leverage AI tools for greater efficiency and productivity and help support their accelerated adoption throughout the Company

Handle confidential information with professionalism and discretion

Assist with special projects and executive initiatives as needed

Draft, edit, and manage executive correspondence and internal documents

Order and manage office supplies, snacks, and beverages

Coordinate office lunches, team meals, and company-wide events

Maintain office organization, cleanliness, and a welcoming environment

Coordinate office equipment needs (printers, phones, etc.) and service requests

Organize meeting logistics including conference rooms and materials

Maintain leadership communication flow across departments and support leadership in streamlining daily operations

Assist with internal announcements and calendar planning

Identify opportunities to improve office systems and workflow efficiency

Create and maintain administrative procedures and documentation

Contribute to maintaining company culture through organized and well-run office experiences

Be open and willing to take on additional tasks as assigned to support company objectives.

Desired Skills, Education and Experience



High school diploma or equivalent required; associate's or bachelor's degree preferred

3+ years of experience in an executive assistant, administrative assistant, or office management role preferred

Experience supporting a C-suite executive in a fast-paced environment strongly preferred

Previous experience in construction, real estate, or professional services environments is a plus

Familiarity with CRM systems, project management tools, or internal workflow platforms preferred

Exceptional organizational and time management skills in a dynamic environment

Strong written and verbal communication abilities

High level of professionalism, discretion, and confidentiality

Strong attention to detail and follow-through

Advanced proficiency in Microsoft Office, Google Workspace, using AI and a variety of computer and software programs

Comfort working with scheduling tools, shared calendars, and digital filing systems

Professional phone etiquette and office communication skills

Adaptability and confidence handling changing priorities

Initiative-driven with a solutions-oriented mindset

High emotional intelligence and strong interpersonal skills with a service-oriented approach

Ability to work independently and collaboratively across team
