Summary:
The Executive Assistant will perform a wide range of administrative and office support activities and aid the Executive Director in facilitating the efficient operation of the organization and assisting with advocacy efforts.
Performance Objectives
Admin to the Executive Director
+ Maintain the ED's appointment schedule by planning and scheduling business and personal meetings, conferences, and teleconferences and coordinating and booking travel arrangements.
+ Assists the ED with daily administrative duties and completes various administrative tasks, including completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings.
+ Assists and supports the ED in preparing for meetings, including preparing meeting materials, taking minutes, keeping track of meeting progress and follow-up items, and preparing and revising correspondence and other documents, as necessary.
+ Works closely and effectively with the ED to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
+ Serve as the primary contact for the ED, greet and establish rapport with employees, board members, clients, legislators, partners, etc.
+ Answer and direct emails and telephone calls, and appropriately relay important information promptly and clearly, maintaining confidentiality as needed.
+ Notify the ED of important dates such as employee birthdays and anniversaries.
+ Manage sensitive matters with a high level of confidentiality and discretion.
2. Advocacy and Legislative Support
Plan, coordinate, organize, and help at various advocacy events and Meetings.
Be easily assessable for after-hour travel, scheduling, and other needs during the legislative session - January through March.
Coordinates and manages the updating of the annual Mental Health Guide and legislative priorities with key stakeholders.
Monitors and develops legislation and policy initiatives as directed by ED.
Write, edit, and proofread articles, fact sheets, memos, testimony, and online content.
May assist in organizing grassroots advocacy and identifying ways to increase member involvement in advocacy and all areas of policy and awareness.
Will assist with news releases, public policy alerts, research, and web and social media content for the GA members and stakeholders.
Represent the organization at presentations, meetings, legislative hearings, and other public hearings as needed.
Collaborate with other organizations and key stakeholders to coordinate policy and awareness efforts.
Establish and maintain effective working relationships with co-workers, partnering agencies, affiliates, advocates, policymakers, stakeholders, and the public.
Requirements
Bachelor's Degree preferred but not required.
+ Good verifiable work ethic.
+ A minimum of 3 years of office experience.
+ Must be proficient with Microsoft Office, Word, Excel, Canva, and social media.
+ Highly organized and self-motivated.
+ Excellent verbal and written communication skills.
+ Must be detail-oriented, have good time management skills, and ability to prioritize work.
+ Must have the ability to take the initiative, anticipate needs and exercise independent/sound judgment.
Note
: Starting salary will be determined based on post-college annual experience and relevant career
field expertise.
