Job Summary
The
Executive Administrator
plays a vital role in supporting the firm's operations and leadership team. Working closely with the
Chief Operating Officer (COO)
and attorneys, this position is responsible for managing administrative functions, billing, client onboarding, and office coordination.
This role is ideal for a highly organized, detail-oriented professional with prior law firm experience who thrives in a fast-paced environment and values accuracy, confidentiality, and professionalism.
Key ResponsibilitiesAdministrative & Executive Support
Provide daily administrative assistance to the
COO
and legal team.
Distribute and maintain
calendar updates
for attorneys (does not directly manage scheduling).
Assist with onboarding
new staff members
, including workspace setup, supply coordination, and procedural orientation.
Enter and update case data, billing records, and notes in
Filevine
.
Support the COO with project coordination, office documentation, and workflow management.
, track payments, and maintain accurate billing records.
Call current clients regarding outstanding balances
and assist with establishing payment arrangements.
Process client payments, issue receipts, and reconcile transactions.
Track and organize
receipts for office and firm purchases
.
Assist the COO with
monthly billing reports
, expense summaries, and financial data entry.
Client Onboarding & Communication
Manage
new client onboarding
, including sending welcome emails, intake forms, and retainer agreements.
Ensure all new client files are opened, organized, and entered into Filevine.
Communicate professionally with clients regarding billing questions, payment updates, and administrative matters.
Coordinate with attorneys and the COO to ensure clients receive timely updates and follow-ups.
Office Operations & Supplies
Order and maintain
office supplies, groceries, and vendor materials
to ensure daily operational needs are met.
Keep the office organized, well-stocked, and professional in appearance.
Coordinate with service providers for deliveries, maintenance, and other operational needs.
Qualifications
Minimum 3 years of experience working in a law firm
(required).
Prior experience with
legal billing, client account management, and administrative operations
.
Proficiency or familiarity with
Filevine
(preferred) or other case management software.
Strong understanding of billing systems, payments, and reconciliation processes.
Excellent written and verbal communication skills.
Highly organized and detail-oriented with the ability to prioritize multiple deadlines.
Proficiency in
Microsoft Office (Word, Excel, Outlook)
and general digital platforms.
Ability to handle confidential information with discretion and professionalism.
High school diploma required; associate or bachelor's degree preferred.

Monday-Friday, 8:00 AM - 5:00 PM (40 hours per week)
