The office of the Chief Administrative Officer (CAO) is vested with the general management and supervision of the Synod's business and legal affairs, including provision for the coordination of policies and directives of the Synod authorized by its Constitution, Bylaws, and resolutions, and for coordination and evaluation of plans and policies of boards and commissions (Bylaw 3.4.2). The CAO provides executive leadership on behalf of the Synod's Board of Directors in carrying out the programmatic, administrative, and financial functions of the national Synod. As a direct report, the Director - Office of the CAO will directly support the CAO with various projects and operational initiatives.
Reporting Relationships
This position reports to the Chief Administrative Officer. The incumbent will work closely with the Synod's Operations Team (includes the Chief Administrative Officer, Chief Financial Officer and Chief Mission Officer) and with unit executives and staff from all corporate entities.
Essential Job Functions
Assists the CAO with project management on behalf of the LCMS Board of Directors.
Provide administrative support to and work closely with the Chief Financial Officer.
Provides administrative support to and work closely with the Senior Director, Events and Procurement.
Review, respond to, or route, as appropriate, and file correspondence; receive office phone calls answering inquiries as possible and routing / following up as necessary for further handling.
Perform a variety of administrative tasks including scheduling, reporting, and tracking information, to improve process efficiency, policy compliance, and document management through electronic means.
Perform clerical duties as required, such as typing, preparing check requests and expense vouchers, scheduling meetings, handling incoming and outgoing office mail, and making travel arrangements.
Manage Power of Attorneys (POA) and ensure the required certification is filed with the Secretary of State's Office. Develop a yearly status report of POAs to the Board of Directors
Responsible for developing legal fees' quarterly reports of legal fees to the Board of Directors
Manage and process legal invoices under the direction of the CAO. Develop yearly reports for internal and external auditors.
Develop annual budgets for the Chief Administrative Office, legal, and Board of Directors under the direction of the CAO.
Provides project management oversight and/or coordination on behalf of the corporate entities and the other service units under the CAO's management (Building Operations, Information Technology, Human Resources, and Travel & Meeting services).
Manages the contract process to include independent contractor agreements and corporate accounts.
Create independent contracts and process for signature through AdobeSign. Each year 275-300 contracts are generated with an aggregate value of $1.1 million.
Manage and maintain a master library of all executed legal contracts including RSOs.
Process and post Amicus Briefs
Participate and manage action items in bi-weekly legal meetings with CAO, legal counsel, OIM, CMO.
Assist the Senior Director, Events and Procurement in managing Exhibitors for the national convention (each triennium).
Provides administrative support for the Operations Team, including but not limited to the implementation of policies, procedures, and other tasks as directed by the Operations Team.
Provides administrative support for Planning and Events Director.
Education and Experience
Associate degree required. Bachelor's Degree preferred.
5+ years of experience in non-profit administration to executive level personnel or Board of Directors is preferred.
5+ years of experience in project management is preferred.
Experience in contract management.
Active member of a Lutheran ChurchMissouri Synod congregation, faithful to the Holy Scriptures and the Lutheran Confessions, and supportive of the Synod's Constitution, Bylaws and policies is preferred.
Previous experience in working with a Board of Directors (governance model) preferred.
