We are seeking a highly organized, self-starting Executive Administrative Assistant & Operations Manager to help run the day-to-day operations of a top-producing solo real estate business. This role is the operational quarterback--responsible for managing systems, projects, timelines, and priorities while coordinating with a virtual assistant and ensuring nothing falls through the cracks. The ideal candidate thrives on ownership, thinks strategically about efficiency, and enjoys building and improving processes, including leveraging AI and automation to streamline operations and drive profitability. This is not a traditional assistant role, but a trusted, high-impact position for someone who wants to play a critical role in scaling a high-performing real estate business. Responsibilities: Business Operations & Systems o Serve as the primary operations manager for the real estate business o Design, implement, and refine systems and workflows to maximize efficiency o Identify bottlenecks and proactively improve processes across the business o Research, implement, and manage technology tools, including AI and automation, to improve productivity and profitability o Create, document, and maintain SOPs for core business functions Time & Project Management o Manage the agent's calendar, priorities, deadlines, and task flow o Oversee multiple projects at once and ensure consistent follow-through o Anticipate needs and proactively solve problems before they arise o Maintain operational organization so nothing falls through the cracks Team & Vendor Coordination o Direct and manage the virtual assistant's workload and priorities o Coordinate with vendors, service providers, and transaction partners as needed o Ensure high standards of execution, communication, and accountability Transaction & Administrative Oversight o Oversee transaction-related processes to ensure files, timelines, and communication stay on track o Maintain compliance, accuracy, and consistency throughout each transaction o Provide high-level administrative and executive support with discretion and professionalism Qualifications: o Strong time management, organization, and prioritization skills o Proven self-starter who takes ownership and works independently o Solid project management skills with consistent follow-through o Systems-minded with the ability to improve and streamline processes o Comfortable using technology and learning new tools, including AI and automation o Close attention to detail and accuracy o Professional, discreet, and dependable o Strong written and verbal communication skills o Experience in operations, executive support, or real estate-related work preferred About Company: We have served the Northwoods since 1992 with a small team of professional, expert real estate agents.
