We're looking for an
Executive Administrative Assistant
who is organized, proactive, and ready to grow with us. This position plays a critical role in managing daily operations, overseeing dispatch, and supporting company leadership.
Responsibilities Administrative & Operations
Answer and respond to
phone calls, text messages, Google, and Yelp inquiries
professionally.
Open jobs, schedule technicians, collect payments, and close jobs
efficiently.
Order parts and materials
as needed for service and installation projects.
Keep
social media pages
current with updates, photos, and company news.
Communicate regularly with the CEO and COO
, providing updates and coordinating company priorities.
Ensure every customer interaction is handled with professionalism and care.
Management & Leadership
Oversee two dispatchers
, ensuring schedules and job tracking are accurate and efficient.
Ensure
all jobs are closed and invoiced
promptly.
Manage technician schedules
to maintain balanced workloads and productivity.
Work closely with leadership to maintain smooth day-to-day operations.
Qualifications
2+ years of experience
in administrative, dispatch, or operations coordination roles (construction, service, or security industry preferred).
Excellent
communication, organization, and multitasking
abilities.
Proficient in
Google Workspace, QuickBooks, and scheduling software
.
Strong attention to detail and a proactive, problem-solving mindset.
Ability to thrive in a
fast-paced, growing company
.
