The Executive Administrative Assistant I provides high-level administrative support to executives and senior leadership. This role ensures the smooth operation of day-to-day executive functions by managing schedules, coordinating meetings, handling correspondence, and serving as a trusted point of contact. The position requires strong organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities



Manage executive calendars, including scheduling meetings, appointments, and travel arrangements. Prepare, proofread, and edit correspondence, reports, and presentations for accuracy and professionalism. Serve as the first point of contact for internal and external inquiries, demonstrating professionalism and confidentiality. Coordinate logistics for executive meetings, including preparing agendas, taking minutes, and ensuring timely follow-ups. Maintain records, files, and databases to ensure accuracy and easy retrieval. Assist with expense reporting, budgeting support, and invoice processing as needed. Liaise with staff across departments to support executive initiatives and projects. Handle confidential information with integrity and maintain a high level of discretion.

Qualifications



Associate's degree in Business Administration, Office Management, or related field (Bachelor's degree preferred). Minimum of 2-3 years of administrative or executive support experience. Previous experience supporting senior leaders or executives is strongly preferred. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Teams, Zoom, Slack). Experience managing calendars, travel arrangements, and expense reporting systems.
