Who We Need

We are seeking an Executive Administrative Assistant to assist the US Marine Corps Logistics Policy Distribution Department (LPD) in overseeing and managing the planning, facilitation, coordination, synchronization, and execution of LPD operations. You will synchronize and coordinate teams and personnel in the completion and production of high-quality informational products; work effectively with senior leadership in developing communications support for strategic initiative; present complex ideas succinctly for senior leadership; and utilize knowledge of Marine Corps structures, missions, and programs for organizations involved in logistics activities.
The LPD provides the interface between Marine Corps distribution management personnel and those organizations supporting them. It serves as the focal point in developing more efficient methods of transporting, billing, and documenting the movement of freight, personal property, and passengers worldwide via all modes of transportation. LPD is responsible for planning, developing, interpreting, and implementing policy and procedures governing the distribution and movement of freight, personal property, and passengers worldwide.
This position is 100% on-site at the Pentagon. US Citizenship and eligibility to obtain a DoD Secret Clearance is required for personnel assigned to this position.
What You'll Do

Coordinate with other staff, higher and lower commands, and principal action officers
Coordinate staff work in conjunction with LPD leadership to formulate comments, correspondence, and decision papers based on staff input and personal involvement in the issues of the Branch
Support LPD leadership by tracking all issues and taskings that must be resolved or completed by LPD staff
Provide daily on-going support by offering recommendations for draft policy guidance, preparation of point papers, information papers, formal correspondence, Naval messages, briefings, and systems support documents in accordance with Section 4.0, Delivery Schedule
Administer the LPD organizational Department of the Navy (DON) Tracker Tasking System, including initiating, monitoring and maintaining all tasks
Coordinate scheduling of meetings and conferences
Record dates, locations, and attendees on the Advocacy SharePoint site for upcoming events to include consolidating briefs, ensuring the most up-to-date documents are available in support of presenters
Post prewritten content to Facebook and monitor for questions/comments and coordinate responses
Monitor the status of all action items (tasks & issues) after each LPD symposium to include an After Action Report (AAR)

Job Qualifications

Required Qualifications
Must be a US Citizen
Must be eligible to obtain a DoD Secret Clearance
5+ years of executive-level administrative support experience
Prior experience in Department of Defense (DoD), military, or federal government environments
Experience supporting senior military officers (Colonel, General Officer) or Senior Executive Service (SES) civilians
High degree of professionalism, discretion, and diplomacy
Ability to manage complex calendars, official correspondence, and scheduling
Experience coordinating VIP visits, official travel, and event planning
Skilled in handling both classified and unclassified materials appropriately
Ability to prioritize and execute tasks independently in a fast-paced environment
Experience with MS Word (Advanced), MS PowerPoint (Intermediate), MS Excel (Novice), SharePoint (Novice) and MS Teams
Preferred Qualifications
Active Secret security clearance (Top Secret or TS/SCI eligibility preferred)
Bachelor's degree in business administration, logistics, or a related field
Certified Administrative Professional (CAP) or similar credential
Familiarity with DoD and USMC-specific systems:
+ Defense Travel System (DTS)
+ Task Management Tool (TMT)
+ SIPR/NIPR networks
+ Enterprise Task Knowledge Management Software (ETMS) Knowledge of DoD/USMC correspondence formats and administrative protocols
Understanding of USMC command structure, logistics terminology, and culture
Familiarity with Joint Staff or Service-level logistics operations (supply chain, maintenance, sustainment, etc.)
Familiarity with priorities of the USMC Installations & Logistics (I&L) division
Prior military service, especially in logistics or administrative MOSs (a plus)
